Terms and Conditions Fees and Cost

If you want to use any of the under mentioned  South African Home affairs documents outside of South Africa - in another country it is usually a requirement that those documents are legalised to prove authenticity of the documents.

  • Birth Certificate ( Abridge and Unabridged)

  • Marriage Certificate (Abridge and Unabridged)

  • Death Certificate (Abridge and Unabridged)

  • Letter of No Impediment.


Which Home Affairs Documents cannot be Legalised by Authentication or Apostille.

  • Birth Certificates that cannot be legalised.

      •• Abridged certificates can usually not be legalised as they are usually not signed by a authorised person.

      •• Handwritten certificates can usually not be legalised as they are usually not signed by a authorised person.

      •• Vault copies of certificates as they are not original documents but certified copies from the original registers.

     •• To ensure that certificates has a registered signature it is advisable that certificates are not older then 2 years.

      •• Only Original documents or Notary copies can be legalised - NOT certified or normal copies.

 • Marriage Certificates that cannot be legalised.

      •• Handwritten Marriage certificates issued by the marriage officer - A5 size

Requirements for Home Affairs Documents to be Apostilled or Authenticated:

  • Birth, Marriage and Death Certificates.

      •• Must be a Original or Notary copy.

      •• Preferably computer printed certificate.

      •• Preferably not older than 2 years.

      •• Must have a registered signature.

  •Letter of No Impediment older than six months  cannot be legalised.

      •• Only Original documents or Notary copies.

      •• Not older than six months.

      •• Must have registered signature.

Process: Apostille


• Original documents are handed in at Department of International Relations and Cooperation (DIRCO)

• Apostille seal is affixed to original documents.

• Documents are ready to be used in target country.


Target Country NOT a member of La Hague Convention.

Process: Authentication with Embassy Legalisation


• Original documents are handed in at Department of International Relations and Cooperation (DIRCO)

• Authentication cert seal is affixed to original documents.

• Documents are ready to be used in target country.

Notary Copies of Original Document

Process: Authentication of Notary Copies and official Translations with Embassy legalisation.


• Documents are handed in at the relevant High Court to be Authenticated.

• Documents are handed in at DIRCO to be Authenticated.

• Authentication seal is affixed to documents.

• Documents are presented to the relevant Embassy for legalisation.

• Documents are ready to be used in target country.

Notary Copies of Original Document

Process: Apostille of Notary Copies and official Translations .

• Documents are handed in at the relevant High Court to be Apostilled.

• Documents are handed in at DIRCO to be Authenticated.

• Authentication seal is affixed to documents.

• Documents are presented to the relevant Embassy for legalisation.

• Documents are ready to be used in target country.

Easy steps for us to assist u in the Apostille and/or Authentication process:

Process to be followed Apostille or Authenticate Certificates:

 • Download the Quotation application and email us the requirements and  list of the documents to be attested as well as the target country (To assist you can also scan the documents to us) to info@gmtm.co.za

 • If you accept the Quotation Courier the following to us:

   •• Client Sheet

   ••Original documents

   •• Write lightly in pencil at the back of each document your Initials, Surname and the the target country.

 • On Receipt of the documents we will;

   •• We will confirm receipt.

   •• We will email you a invoice with banking details.

   •• Process the Legalisation

   •• On receipt of payment we will courier the certificates to u.

 • Lead Time (Lead Times are indications and will be confirmed with each order)

   •• Apostille /Authentication at DIRCO: 3 to 4 working days.

   •• Certification at Department Education etc. 3 to 5 working days.

   •• Authentication School Qualifications at Umalisi : 3 to 10 working days:

   •• Certification at embassy: 5  to 10 working days
